Outbound alerts and notifications

Notifying reps or managers when replies, high-priority signals or workflow events need attention.

Automate an alert only when a person needs to decide or act. Treat each notification as a small decision packet containing the event, the record it concerns, its urgency, the available action, and the point at which it expires. A workflow can surface a signal while the sales representative decides how to respond, keeping judgment with the person doing the outreach.1 When a process breaks in the background and nobody notices, consequences can spread quickly.2 Build delivery and closure into the alert from the start so a missed notification becomes visible through the workflow.

Define the trigger

Start with the event that changes what the recipient should do. A trigger earns a notification when it creates a timely decision or response.

One workflow pattern turns on owner notification when reply, meeting, or opportunity state is active.3 Dashboard systems can automate alerts when performance moves away from a threshold.4 Write the trigger around the event and its response: what happened, why it matters now, and what should happen next.

Ask what event creates attention, what response it should start, and which events should remain visible without notifying anyone. Move on when the trigger describes an action someone can take. If the event only records a change, keep it in the workflow record and avoid another interruption.

Set priority and audience

Priority should change handling, audience, or channel. A label that changes nothing teaches recipients to ignore it.

An alert policy can categorize alerts, apply the policy to all users, set a threshold for triggering, and decide whether to send email notifications.5 One notification scenario exposes case priority such as high or low.6 Use the priority field to explain the response path, then select the people or team that can carry out that response.

Ask who owns the first response, who needs visibility when the owner does not act, and what threshold changes the route or urgency. Keep the audience narrow enough for ownership to be clear. Add escalation when the workflow has a condition that justifies it, such as an unhandled request or a threshold breach.

Build the message

Put the context and the action in the first view. The recipient should understand the event without opening several records or reconstructing why the notification appeared.

Templates configure the information displayed for an incoming conversation, escalation, transfer, or consult.7 A supported notification pattern displays the associated customer, a timeout period, and accept and reject controls.8 Each outbound message can carry multiple notifications, with each notification representing a singular event that occurred.9

Use that pattern for outbound alerts. Show the event, the record or customer involved, the priority, and the action that closes the loop. Include an expiry point when the request becomes stale, and give the recipient a clear choice when the workflow requires acceptance or rejection.

Before sending, answer four questions: What happened? Who or what does it concern? What can the recipient do from this notification? When should the request stop waiting?

When a message carries more than one notification, keep the events distinguishable. A reply, a meeting signal, and a workflow failure can reach the same person and still need different responses.

Choose templates and delivery paths

Choose the delivery path according to where the owner works and how quickly the response is needed. Keep the event definition consistent across channels so changing the delivery does not change the meaning.

Administrators, system integrators, and partners can use out of the box notification templates or create custom templates.10 Supported channels have out of the box notification templates available for use in the environment.11 Use the existing template when it already contains the context and controls the recipient needs. Create a custom template when the event needs different context or action.

Desktop notifications help representatives avoid missing conversation requests.12 Depending on configuration, representatives can receive desktop alerts always or only when the workspace app is not in focus.13 Enable the platform settings recommended for notification delivery so recipients can receive the alerts.14

Send notifications to a team when shared coverage is required. For an email route, the Standard Email Plug-In uses SMTP to send alert notifications to infrastructure administrators, network operations engineers, and other interested individuals.15 That route requires an email user account for the connection.16 If authentication is required, keep the connection account password available.17

Check where the owner will see the alert during normal work, whether the channel supports the urgency and action in the message, and what happens when the primary recipient is unavailable.

Verify the loop

After delivery, verify that the event can be seen, owned, and closed without manual detective work.

An alerts page can let administrators view and filter alerts, set their statuses, and dismiss them after the underlying incident is addressed or resolved.18 Use the status as the workflow record of what happened after delivery. A deal lifecycle view can display messages when the company needs to take action.19 Check that the same required action is visible where the recipient already works.

The Automated Action plug-in is activated by default.20 If automated actions stop working, check that plug-in and activate it when necessary.21 Test the failure path alongside the success path: trigger the event, confirm the recipient sees the intended context, perform the action, and confirm the alert reaches its resolved state.

What not to do

Use these checks to catch gaps before an alert becomes part of daily work.

  • Do not let the notification route end without a receiving team. Companies should ensure their team receives incoming alerts.22
  • Configure a reminder interval so a request does not go unnoticed.23
  • Do not send an automatic email when the workflow needs a sales representative to act. Use the workflow to alert sales representatives, assign tasks and reminders, and notify them when it is time to reach out.24
  • Do not assume one plug-in instance can serve every destination. Multiple instances of the same plug-in type can direct alert information to multiple target systems.25
