Suppression list retention

Keeping only the information needed to prevent future outreach while limiting the personal data stored in suppression lists.

Keep a suppression list for the decision it must enforce, and retain only the details that decision needs. Set the retention period from the event that created the entry. An opt out needs durable protection against future contact, while a delivery failure needs a rule that matches the failure and sending program. Opt out records can be retained indefinitely when they contain only the minimum information needed to prevent future contact, such as the identifier and opt out date.12 An email suppression list controls email sending. Other channels and automations can continue unless you apply a broader control.34

Start with the reason

Name the event that put the entry on the list before choosing a retention rule. This prevents a lasting preference from being treated like a temporary delivery problem.

Suppression lists prevent emails from being sent to harmful recipient addresses and help keep sending reputation healthy.56 Use the event that created the entry to route it into a preference rule or a delivery-failure rule. If the event is unclear, pause the expiry decision until someone identifies why the address was suppressed.

Keep opt-out entries

An opt-out needs a durable rule because its purpose is to stop future marketing contact. Unsubscribe suppression must be honored indefinitely unless the user explicitly opts back in.7

Keep the fuller consent record under its own retention rule. Retained opt-out information should stay at the bare minimum, while full consent-receipt details should be deleted or destroyed after the recommended periods.8 Document the opt-out request date and keep a process note showing that the suppression list is checked before every send.1

Keep only enough in the entry to answer one operational question: should this identifier be excluded from future email? Remove campaign history, profile detail, and any other information the send check does not need.

Set delivery-failure retention

Delivery failures need their own rule. Check whether the event is a permanent address problem or a temporary sending signal before assigning an expiry.

A hard bounce means that the recipient address does not exist or that the recipient server blocked delivery.9 For soft-bounce suppressions caused by reaching a threshold, a documented implementation removes the email address after one year.10 Use that period only where the same soft-bounce rule applies. Each sender and list is unique, so suppression criteria should be customized to the program and list.11

Record the failure type with the retention rule so a future reviewer can tell why the entry expires when it does. A permanent delivery failure, a temporary failure, and an opt-out should not inherit the same period by default.

Put the rule in the list configuration

A written policy is easy to lose when the expiry lives somewhere else. Put the period beside the list entry or in the list configuration, where the send process can enforce it.

The Retention field indicates how long entries in a suppression list should be maintained.12 Specify when the suppression list should expire.13 A suppression-list setting called Never keeps the list indefinitely.14 Use an expiry for temporary delivery failures and an indefinite setting for entries whose reason requires lasting exclusion.

When you review the configuration, check the reason that controls the period, the identifier being retained, and the event that starts the retention clock. If any is missing, the list cannot explain why an entry is still there.

Check the list before sending

Make the suppression check part of the send path. Run it before each send and apply the same retention rule whether the entry came from a form, a reply, a complaint, or a delivery event.

Suppression lists can contain both email addresses and domains.15 The system may flag those two entry types separately for processing.16 Confirm that the send check handles both forms, especially when a domain entry can exclude more recipients than a single-address entry.

An email-only suppression check does not cover every communication path. When the requirement covers all messages or workflow starts for an identifier, apply the deletion and suppression workflow that covers those broader actions.17

What not to do

  • Do not send frequent emails to hard-bounced or invalid addresses. That behavior can alert remote spam filters, affecting inbox placement and deliverability results.1819
  • Do not place multiple hard bounces for the same email provider into one batch. The provider can completely block the sender and affect valid recipients.20
  • Do not continue emailing someone who marked your campaigns as spam. That can harm sending reputation and label the sender as a spam source.21
  • Do not let an opt-out entry expire because the rest of the contact record was deleted. The minimum identifier and opt-out date preserve the exclusion decision.1

Assign each entry a reason, a period, and a minimum record. Put that rule into the send path and test the check with both address-level and domain-level suppressions before the next campaign.
