Other social and messaging channels

X, communities, WhatsApp and other messaging apps as outreach channels, and where they are acceptable.

WhatsApp outreach can be acceptable when the recipient is willing to be contacted there and the message has a clear job.1 The channel does not grant permission on its own. Let the buyer's preferred platform, local expectations, and purpose of the exchange determine whether you use it. The less obvious part is the response burden: WhatsApp gives salespeople quick access to a potential future customer and gives that customer instant access to the salesperson.2 The recipient can experience that exchange as direct customer support.3 Use the channel for a bounded conversation you can support, with a clear reason for the buyer to stay in the thread.

The acceptability test

Run this test before sending. Check permission and fit first, then decide what the conversation should accomplish.

Prospecting should allow prospects to respond on their preferred communication platform.4

Use the answer as the gate. If the buyer names another channel, follow that choice. A familiar app still needs a willing recipient.

In many countries in Africa, Asia, and LATAM, people expect promotional content through WhatsApp or Line alongside email.5 Treat that as a market signal, then check the individual preference.

Give the channel a job

Once the channel passes, define the work the conversation will do. A buyer should be able to tell why the message belongs there.

Customers want to self serve, while salespeople can guide them to resources and answer questions.6 WhatsApp can guide prospects quickly and answer questions when it is positioned appropriately for the buyer.7

Write the intended outcome in plain language before you send. If you cannot name the outcome, pause the outreach. Keep the message scoped to what the buyer can resolve in the thread. When the buyer has the answer or asks for another channel, move the exchange accordingly.

Move group work into a shared space

Direct outreach works while the buyer can make progress in the thread. When more participants need to contribute, create a shared space that keeps the buyer from relaying every message.

Salespeople should connect with their champion on Slack or the internal messaging application the champion uses.8 A shared Slack channel can bring participants together and reduce the communication burden on the prospect's contact.9

Slack can carry deal work between meetings.10 Multiple Slack messages can be socially and psychologically acceptable to prospects.11

Ask who else needs to see the answer and where the buyer wants that work to happen. If the buyer chooses a shared workspace, move coordination there and keep the direct thread focused on the buyer's own questions.

Work carefully inside communities

Group spaces carry their own norms. A person may welcome a direct message and still reject a commercial post in a community.

Find subreddits where the target audience or existing customers are active, then learn the community guidelines, moderators and active voices.12 Some Reddit communities are more accepting of brand interactions than others.13

Carry that discipline into group chats. Read the group's purpose, watch how members handle commercial posts, and ask for permission before you reach out. Keep the group useful and open a private conversation when a member signals interest.

What not to do

Most channel mistakes happen when access gets mistaken for permission or convenience gets mistaken for service. Keep these rules visible when you build the sequence.

  • Do not turn every group discussion into a sales call; communities can become pitch fests when each discussion ends there.14
  • If WhatsApp is used in research work, do not skip GDPR and Facebook's conditions.15
  • Do not leave official contact methods vague; specifying them helps prevent abuse of social media chats on personal networks.16
  • Do not assume the move to Slack removes email; Culture Amp continues to use email alongside Slack.17

Before the next outreach, confirm that the buyer prefers this channel and decide what useful job the thread will do. If the buyer welcomes it, open the conversation with that purpose and move group coordination into a shared space when the buyer would otherwise have to relay the work.
