Mailbox provider selection is an operating decision. Brand preference is a weak basis for choosing the service that will carry your outbound. The provider determines how mailboxes connect, what your team can see, and how much setup you must own. A sender can choose one mailbox provider and still see different outcomes across recipient systems. Choose the path you can test, control, and price against the recipient mix you care about. The useful comparison focuses on Google Workspace and Microsoft 365 because those recipient groups have enough volume.1 Both have strong sender reputations and reliable infrastructure. Google Workspace is more common, and most cold email tools connect to it without friction.2
Run the selection
Start with the sending system, then choose the provider based on what must send, what must be visible, and what must be controlled.

Use a standard mailbox service
Choose a standard mailbox service when the workflow needs ordinary inboxes, reply handling, and broad compatibility with sending tools. Confirm that your team can administer the inbox and connect the sending system before you commit.
For standard email services, Google Workspace and Microsoft 365 are recommended because they have strong sender reputations and reliable infrastructure. Google Workspace is more common, and most cold email tools connect to it without friction.2 Reported deliverability rates are 95.5% for Google, 91.3% for Microsoft, and 81.3% for Yahoo.7 Treat those rates as a starting signal, then test the provider against the recipient groups your outbound will reach.
Ask each candidate how the team will access the inbox, review replies, manage authentication, and recover an account. Ask which sending systems connect directly and what happens when a connection fails. Choose the service when it supports the daily workflow without creating a separate manual process for every mailbox.
Test recipient delivery
Provider selection is distorted when you judge only the sender side. Run a controlled test that follows the message into the recipient mailbox and records the result by recipient group.

Consider dedicated infrastructure
A dedicated infrastructure service is a separate operating model for high-volume sending outside the standard mailbox path.8 Use this route when creating and managing many accounts is a burden, or when the sending system needs more infrastructure control than a normal mailbox service provides.
These services can supply their own complete sending architecture.9 They can provide shared or dedicated IP addresses.10 Some handle domain registration or let you bring domains you already own.11 They can create mailboxes quickly and at high volume,12 and they may configure SPF, DKIM, and DMARC for you.13
Turn those capabilities into questions before you buy. Who owns the domain? Who controls the mailbox credentials? Can you bring your own domain? Which authentication settings can your team inspect and change? Can the accounts connect to the sending platform you already use? Accounts from these services can work with any email-sending platform that supports SMTP email accounts.14
The operational tradeoff is concentration. A service that removes setup work can also place more of the sending path outside your direct administration. Keep the path only when its controls, visibility, and support answer the requirements from the first stage.
Check cost and control
Price the whole operating setup, then compare it with the work your team will carry. A low mailbox price can become a poor choice once add-ons, domain work, authentication, support, and account administration enter the calculation.
Build one cost line for each candidate. Include the mailbox, every required add-on, the domain arrangement, and the people or process needed to keep it working. Then compare the result with the controls you receive. The provider should support the required volume, visibility, and control for the sending system, which matters more than the list price.3
Inspect the inbox and reply workflow for a standard service, and ownership and access for dedicated infrastructure. In both cases, ask what your team can see when delivery changes and how quickly it can act.
