Account-contact mapping

Linking each contact to the correct company, role, location, and account record in the prospect list.

Account contact mapping turns a list of people into an account record you can act on. Start with the account identity, confirm that the contact belongs there, and test the link before outreach. In Eloqua, a contact and account associate only when the values in their linked fields are identical, so records describing the same organization can stay disconnected when those values differ.1 Once linked, significant activity by a contact can be associated with the account,2 and account linking can quickly build targeted audiences by company for a campaign.3

Set the account rule

Before looking for a person, decide what counts as the account and how a record earns that label. This keeps the list from mixing company records with operational identities.

Companies, also called Accounts, are the organizations contacts belong to.4 When mapping account attributes, focus on primary accounts from the relevant source or accounts that are not service accounts.5 Ask: "Are you using Leads, Contacts, or both? How do you match Leads to Accounts?".6

Put the answer in the list rule before adding contacts. Continue when each row has one account target and the same matching rule applies throughout.

Build the contact set

With the account rule set, find the people attached to those accounts and decide who belongs in outreach. Each contact should have a reason for inclusion and a message that fits.

After researching accounts, find their contacts and tailor the emails to those contacts.7 The prospector maps the key contacts they need to pursue.8 Outbound teams should identify the right contacts deliberately.9 Salespeople should verify whether the person identified by the CRM is still the right person to call.10

For each person, check the account connection, the reason for inclusion, and the intended message. Another person should be able to open the row and understand why the contact belongs to that account.

Handle relationships that cross accounts

A single account link leaves gaps when one person works across several organizations or capacities. Keep those relationships visible instead of forcing every person into one account record.

Account Contact Relationships define relationships between individual contacts and business accounts.11 They can represent an individual working with multiple accounts12 and working with accounts in different capacities, including employee, agent, partner, affiliate, or contractor.13 Account Contact Relationships let users define a contact's role with the contact's own account or another account in the Salesforce organization, with built-in examples including Business user, Executive Sponsor, and Influencer.14 These roles can help you navigate power dynamics inside a prospect account and target messaging more accurately.15

Create a separate relationship for each account connection. The record should show both the account and the capacity in which the person relates to it.

Turn the rule into a field match that the system can test. Choose fields that carry the same account identity and inspect their values before trusting the association.

In Eloqua, users can link accounts to contacts by mapping a specific contact field to a specific account field.16 When the Company contact field is linked to the Company Name account field, the records show an association only when those values match.17 A contact whose Company value differs from the account's Company Name value remains unassociated until the discrepancy is fixed.18

Use the actual field values to check the match. Continue only when the contact field and account field use the approved account value.

Import without creating stray accounts

File imports can create a second account record when the file uses a different value from the account already in the system. Treat the import template as part of the mapping process.

In ActiveCampaign, use the existing account name in the CSV file when the account already exists.19 A different name in the file creates a new account record during import.20 Contacts cannot be connected with accounts during an account import, so make the connection during a contact import.21

The contact import file must contain an email address column.22 Add an Account column to the CSV file.23 Ensure the account values in the file match existing accounts before importing.24 Then follow the steps in the "Import contacts from a CSV file" article for the contacts you want to connect.25

Pause the import when a row contains a new spelling, abbreviation, or account value you cannot explain. Fix the row first so the import does not create a record beside the intended account.

Verify the record before sending

Use a final pass to test whether the mapping supports the work that follows. Check the record itself, the account match, filtering, and the address you plan to message.

The values in the records should be accurate before you rely on the link.26 Accurate lead-to-account matching is required when inbound leads need to be matched to existing accounts for attribution.27 Associate users with companies where needed for accurate filtering.28 Separate genuine organization-to-organization relationships from personal or consumer-facing addresses before sending messages.29

Hold the row if any check fails. Continue when the account can be found through the mapped value, the contact fits the account rule, and the address belongs in the intended business workflow.

Carry the map into the opportunity

Mapping loses its value when the next record drops the people and accounts already identified. Preserve the relationship when the opportunity is recorded.

When representatives book opportunities, they should write down the accounts and people involved.30 Linking the opportunity and contacts lets the opportunity inherit account-level context and keeps relationship mapping complete.31

Record the account and contact connection while the details are still in front of you. The opportunity record should let someone else see who is involved without rebuilding the map.

What not to do

These mistakes leave the list looking complete while weakening the account view underneath it.

  • A view of how many Contacts at a company are progressing can be helpful, but multiple unlinked leads make it very difficult to maintain.32
  • Complete account mapping when reconciliation depends on it, because the account attribute may be added only during a later recomputation.33
  • Perform persona mapping alongside account mapping when the work requires it.34

Run the workflow row by row. Establish the account, confirm the person, choose the relationship, test the field match, and review the record. Hold any row that fails a check until someone can explain the account link.
