Use calendar integration to control booking. The system should read the calendars that govern the meeting, show only open slots, and create an invitation whose details match what the invitee saw. Check availability before creating the event. The scheduler should identify available meeting slots first and send the invite only after that check passes.1
Choose the calendar connection
Before publishing a booking page, identify whose calendar controls availability, which calendars can block a booking, where the invitation and created event should appear, and which system owns the meeting location and description.
Connecting a Gmail or Office 365 calendar synchronizes scheduled meetings with the connected calendar.2 Connect the calendar before creating scheduling pages so contacts can see up-to-date availability and book correctly.3
Teams scheduling in Outlook is designed for Microsoft 365 business Exchange accounts.4 In new Outlook, create a calendar event and look for the Teams meeting option in the event window.5 If people regularly schedule meeting links in classic Outlook, start by checking the disabled add-in list.6
Check availability before booking
Make the availability check a gate. Stop the booking when a required calendar is unavailable instead of creating an event and asking someone to repair the conflict afterward.
Select Check calendars for availability when configuring the appointment flow.7 Include co-hosts' calendars in the check so the system can prevent double-bookings.8 Sync calendars across the scheduling setup to avoid double-booking, showing reserved time as available, or offering slots during off hours across time zones.9
For an outbound handoff, decide whose calendar controls the offered slots before sending the booking link. The setup can embed the AE calendar, confirm the agenda, attach qualification notes to the invitation, and log the meeting to the opportunity.10
The availability check is ready when everyone who must attend is covered and the slots look correct in the booking flow. Test an occupied slot and an open slot. The first should block the booking, and the second should create the expected event.
Build the event after the slot passes
After the slot passes the availability check, create the event with the same information the invitee used to choose it. Keep the event payload small enough to inspect, while making the location and purpose clear to everyone who receives it.
The meeting location appears in the contact's calendar invitation and in the event created on the organizer's default personal calendar.11 The meeting description appears in the contact's invitation and in the event on that calendar.12 Check both views after a test booking. A field that looks correct on the booking page still needs to survive event creation.
A smooth scheduling process requires automatic creation of a video conferencing link and delivery of that link to all participants.13 Decide whether the meeting is online or in person before creating the event, then inspect the final invitation for the correct location or link.
Confirm the invitation path
An active calendar connection can still send invitations to the wrong place or leave them tentative. Test what happens when the recipient accepts, declines, ignores, or never receives the event.
In the calendar settings, click Event settings and then Add invitations to my calendar under General on the left.14 The From everyone option automatically adds all invitations to the calendar.15 If an event is not added to the calendar, the user receives an invitation email.16 A sender can also be manually added to contacts so future invitations from that sender are added automatically.17
Use a test recipient whose calendar settings resemble the people you schedule with. Check the calendar, invitation email, meeting description, location, and conferencing link. This catches delivery problems that an availability test cannot show.
Pick the product by the workflow
There is no universal best connection. Match the choice to the calendar system already controlling availability and the work that must happen after booking.
Google Workspace is recommended for Google ecosystem integration and syncs with Gmail, Meet, Drive, and other Google tools.18 Microsoft Outlook is recommended for email and calendar management because it combines those tools on one platform.19
For client scheduling, Calendly automates meeting booking with CRM integration and smart routing.20 For video-first meeting scheduling, Zoom Workplace enables scheduling and joining Zoom meetings directly from the calendar.21
For an appointment flow involving staff and customers, Microsoft Bookings integrates with Outlook calendars and Microsoft Teams to handle scheduling.22 Calendar synchronization in that setup prevents double-booking when staff have other appointments.23
Test the product in your environment. It should read the calendars that matter, block occupied time, create the expected event, carry the right details, and deliver the meeting path to every participant. A shorter booking flow has little value if the invitation lands on the wrong calendar or offers time that was already taken.
What not to do
Test each of these failure cases before trusting the integration with live bookings.
- Check the other person's calendar for conflicts before sending the meeting invitation.24
- Do not treat an unaccepted Outlook meeting as harmless. Outlook places meetings on the calendar before they have been accepted.25
- Do not ignore unwanted appointments that create false conflicts. One account required removing several unwanted appointments to stop Outlook reporting a schedule conflict.26
- Do not promise that unaccepted meetings can be kept off the calendar in Outlook. One account reports no way to do that.27
- Do not assume that deleting qualifying invitations removes the tentative meetings they created. Outlook Calendar can still add those invitations as tentative meetings.28
- Do not assume hidden tentative meetings stay isolated from other calendars. By default, those meetings can sync from Outlook Calendar to Google Calendar.29
- Put every in-person meeting, speaker session, and event on the calendar.30
Before approving a scheduler, run a booking through the exact calendar mix your team uses and inspect the result from the recipient's side.
